Terms of Service

Last updated 5 July 2026. This is a starting draft, written to cover BoutRoom's actual features. It is not formal legal advice, and should be reviewed properly before being relied on commercially.

1. What BoutRoom is

BoutRoom is a self-service matchmaking tool for fight promotions. It lets a promoter ("you") share a submission form with coaches, collect fighter details, and build a fight card. BoutRoom is operated as a trading name; for any formal correspondence, contact [email protected].

2. Your account

You're responsible for keeping your login details secure and for everything that happens under your account. You must give accurate information when creating an account and when creating events.

3. Payments and refunds

New accounts include a free trial covering your first event at no charge. After that, each additional event is paid for: one payment unlocks one card. Full pricing is shown on the BoutRoom website and may be updated there from time to time, and we'll always show you the price before you pay. Payments are handled by our payment provider, Stripe; your card details are entered on Stripe's secure checkout and are never stored by BoutRoom.

When your payment succeeds, the card credit is added to your account immediately so you can start building your event straight away. Because this is a digital service supplied to you as soon as you pay, you agree that supply begins immediately. Where a statutory cancellation or "cooling-off" period would otherwise apply, you acknowledge that you lose any right to cancel once the credit has been used to create an event.

Card purchases are non-refundable once the credit has been used to create an event. If you've bought a card and changed your mind before using it, contact us at [email protected] and we'll sort it out. None of this affects your legal rights if the service turns out to be faulty or not as described.

4. Fighter data you submit or collect

The submission form is used by coaches to provide details about fighters who are not the account holder. For this data, you (the promoter) are the "data controller" under UK GDPR: you decide to run the event, you decide which coaches receive the submission link, and you have the actual relationship with the fighters and coaches involved. BoutRoom is the "data processor". We process and store this data on your behalf and on your instructions, and we don't use it for our own purposes.

Because you're the controller, it's your responsibility to make sure you have the right to collect this data (that fighters have been told their details will be used to build a fight card, and that you're not collecting more than you need). We'll process it securely, only the way the form is designed to be used, and we'll help you respond if a fighter or coach asks to see or delete their data. See our Privacy Policy for how that data is handled, including how it can be deleted.

If your event includes junior or under-18 categories, it's also your responsibility to ensure you have appropriate consent to collect and share a young person's details, including from a parent or guardian where that's required. BoutRoom only stores what your coaches submit and processes it solely to build your card.

5. Acceptable use

Don't use BoutRoom to collect data you don't have permission to collect, to send spam, or to try to disrupt or reverse-engineer the service.

6. Availability

We do our best to keep BoutRoom up and running, especially around event dates, but we don't guarantee uninterrupted availability and aren't liable for losses caused by downtime, data loss, or errors in matchmaking output. Always double-check a fight card before announcing it publicly.

7. Cancelling your account

You can ask us to close your account at any time by emailing [email protected]. Events that have already happened are kept as a historical record unless you ask for them to be deleted.

8. Changes to these terms

We may update these terms as BoutRoom develops. We'll update the date at the top of this page whenever we do, and any significant change will be reflected there.

9. Governing law

These terms are governed by the laws of England and Wales.
